Booking Conditions

About your payments

Important:
Only send payment when you have received Alpha Vacations Invoice with all your booking details. Payment acts as acceptance of the details provided
You can pay in either US$ or Sri Lankan Rupees. This currency must be shown on your Invoice
Please read Alpha Vacations’ payment terms and cancellation policies before you do the payment if think you need some concession on terms and conditions, clarify using e-mail system and do the transaction after you clarify them
Note that additional credit-card fees are shown on the Invoice total and must be added whenever applicable. We levy no hidden charges such as booking fees or postage charges

Upon receipt of our confirmation and after we ask you to pay, 30% of cost or total amount if less than USD 500.00 is normally payable within seven days. Not less than six weeks before departure: 100 per cent of cost.
At the moment we accept only VISA and MASTER cards for online payments.
We accept other credit-card payments via mail order form system also and are subject to an additional charge of 3% per cent.
Customer must pay all bank charges in the case of a bank transfer. Failure to do so will invalidate your booking and will bring a further charge to cover bank charges

There will be no additional postage fees, booking fees or other hidden charges. 

Changes or amendments after confirming the tour
If, after our confirmation invoice has been issued as an invoice or as an E- Mail confirmation, you wish to change your travel arrangements in any way, we will do our utmost to make these changes, but it may not always be possible. Any request for changes to be made must be from the ‘lead name’ on the booking or your Travel Agent. You will be asked to pay an administration charge USD 20.00 per person and any further cost we incur in making this alteration.

You should be aware that these costs could increase the closer to the departure date that changes are made. Only one change of departure date, per booking may be permitted. Any change in departure date will be treated as a cancellation and full cancellation charges will apply.

Depending on the booking situation some certain arrangements may not be amended after they have been confirmed and any alteration could incur a cancellation charge of up to 100% of that part of the arrangements. In some cases, any changes made may mean you having to pay for the cancelled arrangements and purchasing new ones at full cost.

Due to un-avoidable situations if we may be compelled to cancel your booking
We regard your holiday seriously. But due to various un-avoidable situations sometimes we may compelled to alter or cancel your holiday that we confirmed to you in writing. In this event we will return all money paid by you and, wherever possible, offer an alternative holiday of comparable type and quality for your consideration. We cannot be held liable for any incidental expenses that you may incur during arrangements for a holiday that is subsequently cancelled by us.

Cancellation policy – If cancelled by you
You, or any member of your party, may cancel your travel arrangements at any time. Written notification by mail, fax or email from the ‘lead name’ on the booking or your Travel Agent on your behalf, must be received at our offices. Since we incur costs in cancelling your travel arrangements, those charges may be charged as per table below.

Important: if the reason for your cancellation is covered under the terms of your insurance policy, you may be able to reclaim these charges from your insurance company.

Holiday cancellation charges

*Where the standard deposit is increased to secure specific facilities or extras, which are non-refundable in whole or part, then the scale of cancellation charges will be based on the percentage of the cost of all other arrangements, or loss of deposit, as applicable, and the non-refundable charges will be added to that cancellation charge to give the total charge.

 

Our cancellation charges are a percentage of the total holiday cost, not including your insurance premium or bank charges or credit card levies which is non-refundable. These charges are based on how many days before your departure we receive your cancellation notice and not when your correspondence was sent to us. Please note that any amendment charges are non-refundable. For insurance premiums you should refer to your insurance provider’s cancellation policy
